Tokyo Alley is a non-profit and registered charity organisation. Please note that all existing and available roles are volunteer-based, and therefore unpaid at this time.

TOKYO ALLEY TEAM

The Tokyo Alley Committee is the core team that coordinates and directs the event. All Tokyo Alley Committee members must be at least 18 years old.

This role involves working closely with the Cosplay Director in organising cosplay related entertainment and activities.

  • Organise and assist with cosplay related activities such as the photobooth, meet-ups, etc.
  • Communicate with local organisations and individuals.
  • Being active within the cosplay community is a plus.

This is an on-the-day (OTD) position. This role has the expectation that the person must be present to action responsibilities on the day of the event.

The Stage Department is in charge of the operations on and behind the stage, on screens and other various technical procedures. This role involves working in collaboration with the stage team and reporting directly with the Stage Directors.

  • Support in the organisation of stage related entertainment and panels.
  • Organise and source interactive stage activities with local organisations and clubs.
  • Assist in the creation of audio-visual graphics.
  • Assist in communicating with stage technician.

This is an on-the-day (OTD) position. This role has the expectation that the person must be present to action responsibilities on the day of the event.

The Activities Department is responsible for event-day activities. Gaming activities are categorised into the following roles:
  • Digital Gaming Coordinator
  • Indie Game Coordinator
  • Arcade Gaming Coordinator
  • Tabletop Gaming Coordinator
  • TCG Coordinator
  • Organise and set-up the various activities on the day.
  • Plan layouts and coordinate purchase/hire of required equipment.
  • Liaise with external, relevant organisations to source contacts and resources.
  • Communicate with Design Department for relevant graphics.
  • Potential to organise game-related competitions and source rewards.

This is an on-the-day (OTD) position. This role has the expectation that the person must be present to action responsibilities on the day of the event.

The Activities Department is responsible for event-day activities. Creative activities are categorised into the following roles:

  • Creative Activities Coordinator (origami, gunpla, etc.)
  • Activity Activations Coordinator (stamp rally etc.)
  • Tokyo Alley Activations Coordinator (drawing competition, doodle wall etc.)
  • Organise and set-up the various activities on the day.
  • Plan layouts and coordinate purchase/hire of required equipment.
  • Liaise with external, relevant organisations to source contacts and resources.
  • Communicate with Design Department for relevant graphics
  • Option to organise creative-related competitions and source rewards.

This is an on-the-day (OTD) position. This role has the expectation that the person must be present to action responsibilities on the day of the event.

This is a casual role on an on-call basis. This role involves working closely with the Creative Director to help create digital and print materials.
 
Applications for the Creative Department will be required to submit a portfolio of work. Knowledge of different file type properties is required. In relation to Tokyo Alley’s brand, an “anime/manga” illustrative style is desirable; the portfolio submission should display an adaptability for commercialised material.
 
  • Create illustrations digital and print material, and merchandise, with guidance from the creative director
  • Knowledge in print-ready file management (crop, bleed, etc.) is a plus
This is an involved and active role during the times leading up to, and after Tokyo Alley events. This role involves working closely with the Creative Director to help create digital and print materials.
 
Applications for the Creative Department will be required to submit a portfolio of work. Knowledge of different file type properties is required. In relation to Tokyo Alley’s brand, examples of a “clean” and “bright” style will be positively looked upon. The portfolio submission should display an adaptability for commercialised material.
 
  • Proficiency in Adobe Photoshop, Illustrator, and InDesign programs is a must.
  • Knowledge in print-ready file management (crop, bleed, etc.) is a must.
  • Create graphics for digital and print materials following style guides.
  • Deliver files in a timely matter, in accordance to the internal schedule.
  • Motion graphic and/or photography experience is a plus.

This role involves working closely with the Creative Director in the visual development and material production of show-floor exhibitions, displays, and signage.

  • Develop show-floor displays, signage, and wayfinding materials
  • Develop visual identity of Tokyo Alley related areas (booth, activities, etc.)

This is an on-the-day (OTD) position. This role has the expectation that the person must be present to action responsibilities on the day of the event.

This role involves working closely with the Creative Department to help create and produce printed materials such as posters, programmes, and signage.
 
  • Knowledge in print-ready file management (crop, bleed, etc.) is a must.
  • Source, liaise, and maintain relationships with print manufacturers.
  • Coordinate quotes and purchasing of printed material.
  • Coordinate delivery, collection, and transportation of printed material.

This role involves working closely with the Creative Department to help develop and create official Tokyo Alley branded merchandise and products.

  • Prior experience with merchandise production is a must.
  • A background in illustration/design is not necessary, but is a plus.
  • Develop and produce a range of merchandise which falls under the Tokyo Alley brand.
  • Understand habits and profile of Tokyo Alley’s demographic.
  • Source, liaise, and maintain relationships with manufacturers.
  • Coordinate quotes and purchasing of merchandise goods.
  • Coordinate delivery, collection, and transportation of goods.
This role involves closely working with the Head Mod of the Tokyo Alley community Discord server (Tokyo Alleyway). The Discord server currently hosts over 500 users, and is required to be managed on a regular basis. Familiarity with Community Servers as well as roles and bots are looked upon positively. 
 
  • Ensure all members follow the server rules in a safe digital environment.
  • Assist with general enquiries regarding Tokyo Alley.
  • Organise and plan regular community activities/engagement opportunities in the server.
  • Potential to organise in-person activities and community events.
This role involves closely working with the Marketing Director. You will be required to be familiar with the Meta Business Suite for Instagram and Facebook. Knowledge in Twitter and TikTok will be positively looked upon. 
 
  • Maximise social media engagement and help conceptualise content.
  • Understand habits and profile of Tokyo Alley’s demographic.
  • Respond and redirect user enquiries.
  • Schedule and organise social media posts.
  • Be available on the event days to publish/archive content of the event.
  • A background in illustration/design is not necessary.
  • Experience in photography is a plus.

The Exhibitor Department is responsible for coordinating the various businesses/organisations involved with Tokyo Alley events. Exhibitor Directors are categorised into the following roles:

  • Vendor Hall Director (retail, commercial, etc.)
  • Community Alley Director (clubs, non-profits, idol alley etc.)
  • Food Business Director (food trucks etc.)
  • Liaise with various businesses and organisations (local, national, or international) regarding their participation at Tokyo Alley events.
  • Ensure all needs of the respective businesses/vendors are met.
  • Plan layouts and coordinate purchase/hire of required equipment.
  • Be familiar with venue requirements and guidelines.

The Volunteer Department is responsible for the coordination and management of on-the-day (OTD) volunteers at Tokyo Alley events.

The Volunteer Department is categorised into the following roles:

  • Volunteer Director (manage all Volunteer Coordinators and key logistics)
  • Volunteer Coordinator (assist Volunteer Director and manage OTD volunteers)
  • Oversee the three main areas of the event where OTD volunteers are involved.
  • Support OTD Volunteers to ensure their safety, health, and lifestyle requirements are met.
  • Provide and organise necessary training/orientation for all volunteers.
  • Address and respond to volunteer related enquiries.
  • Organise general volunteer recruitment and scheduling.
  • Provide clear communication avenues for OTD volunteers, including event check-in and check-out processes.
  • Organise catering for OTD volunteers.

Partners & Sponsors are categorised into the following roles:

  • Community Partners & Sponsors Coordinator
  • Corporate Partners & Sponsors Coordinator
  • Liaise and maintain relationships with various businesses/organisations with the interest for collaborating with Tokyo Alley.
  • Negotiate and close sponsorship deals (monetary or in-kind).
  • Develop and produce event activation concepts.
  • Ensure all requests and requirements of the respective partner/sponsor is met, with documentation.

  • Maintain communications with respective event guest/s.
  • Budget related expenses per the guests’ requirements and background.
  • Negotiate and close related fees, or a guests’ request to monetarily gain at the event.
  • Coordinate quotes and purchasing of guest related expenses.
  • Coordinate flights, transportation, and accommodation of guest/s.
  • Ensure all requests and expectations of the guest/s are met.
  • Be available, or assign a volunteer handler to be available for the guest/s at all times on the day of the event.

This role involves supporting the organisation’s President with matters regarding book keeping, event management, and enquiries.

  • Manage meeting minutes.
  • Assist in managing general and admin email correspondence.
  • Assist in organisation of admin work (insurance, registrations etc.)
  • Assist in managing internal documentation and records.
  • Observe compliancy with insurance, license, and venue policies.
  • Assist in liaising with venues, contractors, and subcontractors.

This role involves matters of finance and budgeting. Prior experience and/or a background in accounting is a must.

  • Management of finances through Xero or similar accounting software.
  • Have familiarity with digital payment avenues such as Stripe, PayPal, and Square.
  • Maintain accurate record of organisation spending and earnings.
  • Assist with budgeting and the sourcing of funds.
ON THE DAY (OTD)

Experience conventions in a totally unique way, and become a OTD volunteer! All OTD volunteers must be at least 16 years old.

Experience an anime convention from behind the scenes, leave an impact on the community, and make new friends! An OTD Volunteer is only required to help out during the week of the event, with a flexible schedule.
