TOKYO ALLEY TEAM
The Tokyo Alley Committee is the core team that coordinates and directs the event. All Tokyo Alley Committee members must be at least 18 years old.

- Organise and oversee Drawing Competition, Colouring Sheets, and Doodle Wall
- Explore and develop new in-house activities
- Brainstorm and enhance the Stamp Rally experience

- Engage with attendees and gather feedback
This is an on-the-day (OTD) position. This role has the expectation that the person must be present to action responsibilities on the day of the event.
The Activities Department is responsible for event-day activities. This role involves working in collaboration with the activities team and reporting directly with the Activities Director.
- Organise Japanese cultural activities and events
- Coordinate with external organisations for cultural interactions and activities
- Establish and maintain relationships with the Japan Consulate and other Japanese partners
- Develop new ideas for cultural activities and events

The Activities Department is responsible for event-day activities. This role involves working in collaboration with the activities team and reporting directly with the Activities Director.
This role refers to local external clubs that align with Tokyo Alley’s purpose and goals.
- Explore and establish partnerships with local clubs
- Organise a variety of interactive activities with clubs
- Communicate effectively with club representatives and members

The Exhibitor Department is responsible for coordinating the various businesses/organisations involved with Tokyo Alley events. This role involves working in collaboration with the exhibitors team and reporting directly with the Exhibitors Director.
- Identify and reach out to potential game developers
- Establish and maintain a relationship with the local game dev community
- Act as the main point of contact for participating developers and ensure a positive experience for them
- Coordinate logistical and technical requirements for developers to exhibit at the event
- Gather feedback and implement improvements to enhance the devs’ and experience

The Exhibitor Department is responsible for coordinating the various businesses/organisations involved with Tokyo Alley events. This role involves working in collaboration with the exhibitors team and reporting directly with the Exhibitors Director.
- Reach out to university clubs, events, and organisations
- Build and maintain strong relationships with community partners
- Liaise with exhibitors to understand and meet their requirements
- Provide support and resources for exhibitors to prepare and participate in events
- Coordinate logistics and manage communications for smooth exhibitor participation
- Provide leadership and support to exhibition coordinators, ensuring smooth execution of exhibitions.
- Maintain clear communication with artists, venue owners, sponsors, and stakeholders throughout the exhibition process.
- Manage logistical aspects, including transportation and setup of displays, to ensure seamless operations.
- Oversee budget allocations and seek cost-effective solutions for exhibition expenses.
- Ensure exhibition displays meet quality standards and align with artistic vision and objectives.
- Address challenges promptly and collaborate with stakeholders to find solutions.
- Reach out to organisations and businesses to secure display opportunities for the gallery.
- Collaborate with artists and stakeholders to curate exhibitions that align with the gallery’s vision.
- Organise necessary equipment, such as display stands and lighting, for each exhibition.

The Exhibitions Department is responsible for coordinating the exhibition and spacial design throughout the venue. This role involves working in collaboration with the exhibitions team and reporting directly with the Exhibitions Director.
- Design captivating displays for Tokyo Alley booth and Front of House (FOH) areas.
- Ensure all necessary equipment for displays is organised and in place.
- Collaborate with design team to create print materials like banners and signage.
- Ensure displays align with Tokyo Alley’s branding and theme.
- Coordinate with other teams for seamless integration of displays with event planning.
- Adapt displays as needed to optimise impact and effectiveness.
This is an on-the-day (OTD) position. This role has the expectation that the person must be present to action responsibilities on the day of the event.
- Reach out to Itasha car owners to invite them to display their vehicles
- Ensure owners have necessary information and equipment for bump-in and bump-out
- Brainstorm display spaces for Itasha cars alongside our design team
- Provide assistance with onsite setup and direction during bump-in and bump-out
This role involves closely working with the Marketing Director on the acquisition and coordination of local or international talents to appear at the event.
- Provide a warm welcome to guests upon their arrival at the airport.
- Offer comprehensive guidance and recommendations for exploring Perth, including attractions, dining options, and local events.
- If required, coordinate the arrangement of a knowledgeable guide or translator to accompany guests during their stay.
- Ensure guests are equipped with all necessary information and resources for a smooth bump-in process at the event, including venue details, schedules, and any required equipment.
- Create engaging Social Media content during the event
- Interact with the community through Social Media
- Ensure accurate scheduling and posting of arranged posts
- Collaborate with exhibitors and performances for OTD content
- Organise logistics to facilitate our participation in various events
- Liaise with the external event coordinators to ensure a smooth collaboration
- Become familiar with the external event specifics, including themes and schedules, to effectively coordinate our participation
- Oversee the preparation of display materials and promotional items for each event
This role involves closely working with the Marketing Director. You will be required to coordinate with external media producers, such as photographers and videographers at Tokyo Alley event.
- Organise media passes and media applications
- Coordinate the presence of photographers and videographers on event days.
- Provide clear instructions and guidance to hired professionals on their roles and responsibilities.
- Distribute relevant information to media pass holders

The Volunteer Department is responsible for the coordination and management of on-the-day (OTD) volunteers at Tokyo Alley events.
- Ensure volunteers have access to water, food, and are aware of safety protocols.
- Assign volunteers to appropriate stations and provide guidance on event specifics.
- Coordinate the volunteers, ensuring they understand their roles and responsibilities.
- Direct volunteers to appropriate committee members and event partners for event-related inquiries or assistance.

The Volunteer Department is responsible for the coordination and management of on-the-day (OTD) volunteers at Tokyo Alley events. As an OTD coordinator, you will need to help oversee all OTD operations at the event.
- Ensure the safe running of the event by coordinating with security, committee members, and medical staff.
- Act as a liaison between different teams, facilitating communication and collaboration.
- Oversee logistics and operations at the event
- Address any emergencies or unforeseen situations promptly and efficiently

The Venue Department is responsible for coordinating the decorative and spacial design throughout the venue. This role involves working in collaboration with the venues team and reporting directly with the Venue Director.
- Research and develop creative design ideas to enhance the aesthetics of the venue according to our event theme.
- Collaborate with the printing coordinator to obtain quotes for the proposed decorative elements.
- Ensure that the chosen design elements align with the event’s theme.
- Coordinate with decorators and other relevant parties to create and install the chosen design elements.
- Oversee the setup and arrangement of decor items on the day of the event to ensure they are installed as planned.

The Venue Department is responsible for coordinating the decorative and spacial design throughout the venue. This role involves working in collaboration with the venues team and reporting directly with the Venue Director.
- Conduct a thorough accessibility assessment of the event venue and planned activities, to advise on adjustments that will ensure inclusivity.
- Communicate with relevant groups and organisations to gather feedback on accessibility and identify areas for improvement.
- Liaise with the venue management to address any accessibility issues and ensure compliance with accessibility standards.
- Organise and share comprehensive information for accessibility features and resources available at the event.

The Venue Department is responsible for coordinating the decorative and spacial design throughout the venue. This role involves working in collaboration with the venues team and reporting directly with the Venue Director.
Familiarity with CAD or other technical software for to-scale event space mock up will be looked upon favorably.
- Create the layout and design of the event space, considering functionality, aesthetics, and theme cohesion.
- Collaborate with the team to understand event requirements and preferences.
- Oversee the setup of the event space on the day of the event to ensure it aligns with the planned design and meets safety and accessibility standards.

The Stage Department is responsible for coordinating the various stage events taking place at Tokyo Alley. This role involves working in collaboration with the stage team and reporting directly with the Stage Director.
- Coordinate with stage performers, technicians, panellists and other departments
- Facilitate the creation of necessary forms, promotional materials and other digital items
- Bringing to life interactive stage experiences
- Collaborating with technicians for stage setup
- Creating stage plans and schedules
- Running on the day stage logistics, getting performers ready, relaying needs to technicians
This is an on-the-day (OTD) position. This role has the expectation that the person must be present to action responsibilities on the day of the event.
The Community Department is responsible for facilitating projects, events and collaborations to engage with all communities relevant to Tokyo Alley. As the director of the community department, you will be expected to oversee the department and coordinate with your team members.
- Facilitate and organise regular committee gatherings to promote communication and collaboration among members.
- Collaborate with committee chairs to gather feedback and input from members on various initiatives and projects.
- Provide leadership and support to community project coordinators.
- Assist project coordinators in streamlining processes and overcoming challenges.
- Engage with community members to understand their needs and encourage participation.
- Evaluate community initiatives and processes to implement improvements as needed.
This is an on-the-day (OTD) position. This role has the expectation that the person must be present to action responsibilities on the day of the event.
The Community Department is responsible for facilitating projects, events and collaborations to engage with all relevant communities to Tokyo Alley. This role involves working in collaboration with the community team and reporting directly with the Community Director. Previous experience in running a zine project will be looked upon favorably for this role.
- Lead the process of creating the JAM Zine
- Coordinate printing and distribution, as well as the creation of advertising materials.
- Coordinate with the design team to ensure engaging and cohesive layout and visual elements.
- Organise and oversee artist applications for zine contributions.
- Maintain communication with local artists, providing guidance, support, and feedback.
- Manage and coordinate our online store and in person collection points for the printed zine
This is an on-the-day (OTD) position. This role has the expectation that the person must be present to action responsibilities on the day of the event.
- Assist with the Discord server by monitoring channels and assuring all members abide by the rules.
- Organise Discord events to promote community activity and engagement, such as Productivity Evenings, Secret Santa, etc
- Foster a positive and inclusive community environment, including assisting in resolving conflicts and addressing member concerns.
- Work collaboratively with the Lead Discord Moderator and Committee to improve the server as a whole.
(Prior Discord technical knowledge not required)
- Familiar with WordPress + Website Builder or similar systems
- Regularly update the website
ON THE DAY (OTD)
Experience conventions in a totally unique way, and become a OTD volunteer! All OTD volunteers must be at least 16 years old.
Experience an anime convention from behind the scenes, leave an impact on the community, and make new friends! An OTD Volunteer is only required to help out during the week of the event, with a flexible schedule.
